Serviced Offices International
The following terms and conditions pertain to the Serviced Offices International (‘SOI’) meeting rooms located at levels 11, 14 and 16 of 309 Kent Street, Sydney, NSW, 2000 and level 13 of 465 Victoria Avenue, Chatswood, NSW, 2067 and any other premises serviced by SOI under any arrangement.
Ordinary Business Hours
SOI ordinary business hours are Monday to Friday from 8:30AM to 5:30PM, any bookings made that are not within this period are considered outside of the SOI ordinary business hours.
Minimum Booking Period
Please note all SOI meeting rooms including the boardroom have a minimum booking period of 60 minutes.
Booking Cancellations
SOI appreciates that sometimes meetings are cancelled. To ensure that you do not have to incur a fee for a booking you no longer require please provide the friendly SOI Concierge Desk and Customer Service Team (‘friendly SOI Team’) with a minimum of three (3) hours’ notice. If you provide three (3) hours or more notice, SOI will not charge you for your booking.
The minimum notice period commences three (3) hours before your booking time. For example, if your booking is at 12:00PM, SOI is required to be notified BEFORE 9:00AM the same day. Cancellations can be made via email or in person with our friendly SOI Team.
All cancellations where SOI have been given less than three (3) hours’ notice, will incur a cancellation fee equivalent to the fee of the first hour for that booking.
Extension to Booking Period
SOI understands that sometime meetings require more time than was originally envisaged at the time the booking was made. For this reason, our friendly SOI Team will do everything they can to ensure that you are able to continue your meeting in the same meeting room until the conclusion of your meeting.
This promise to extend your time is subject to the condition that the same meeting room has not already been booked for another client. In the event your meeting room has been booked by another client, we will endeavor to provide you with an alternate room.
Additional Fees
Any extension of time to your originally booking will attract an additional fee in addition to your original booking fee. The additional time you require is charged in 15 minute increments. For example, if your meeting booking was from 1:00PM to 2:00PM and you request another 15 minutes until 2:15PM and leave before or at 2:15PM you will be charged an additional 15 minutes.
Alternatively, if your meeting concludes after the additional 15 minutes eg at 2:20PM you will be charged for two 15 minute increments ie for 30 minutes.
Bookings Outside of Ordinary Business Hours
If you require a meeting room outside of SOI’s ordinary business hours, the booking must be made in person at the SOI Concierge and Reception Desk.
In addition, you must attend the SOI Concierge and Reception Desk in person prior to the booking to arrange access for you and your guests.
Access for bookings Monday to Friday after 5:30PM
If your meeting room booking is after 5:30PM, you are required to attend the SOI Concierge and Reception Desk in person before 4:00PM the same day to obtain instructions about access for you and guests. See ‘Access for bookings on weekends or public holidays’ below for information about bookings on public holidays.
Access for bookings Monday to Friday before 8:30AMm
If your meeting room booking is before 8:30AM, you are required to attend the SOI Concierge and Reception Desk in person before 4:00PM the previous day to obtain instructions about access for you and guests. See ‘Access for bookings on weekends or public holidays’ below for information about bookings on public holidays.
Access for bookings on weekends or public holidays
If your meeting room booking is on a weekend day or public holiday, you are required to attend the SOI Concierge and Reception Desk before 4:00PM on the business day immediately prior your booking.
For example, if your booking is 9:00AM on a Monday which is a public holiday, you must attend the SOI Concierge and Reception Desk before 4:00PM on the previous Friday.
In addition to the SOI meeting room booking fees and charges, an additional charge of $75.00 per hour (or part thereof) for air conditioning will be charged to the client for the duration of the booking period.
SOI Property
All SOI meeting rooms are fully equipped with equipment and facilities. All SOI equipment and facilities are regularly maintained and provided in proper working order.
All items returned to SOI damaged will be notified to the client and charges for replacement or repair will be charged to the client.
Lost property
SOI will advise you of any items remaining in the meeting room at the conclusion of your meeting.
Any such items will be available to collect from the friendly SOI Team for one week. If you are unable to collect the items, we can arrange at your cost to have the item delivered to you.
All items not collected within a week will be disposed of or donated depending upon their nature.
Payment
SOI tenants and virtual clients will have all fees and charges added to their monthly invoice.
SOI casual clients are required to pay all fees and charged prior to the commencement of their booking.
